General
All contact with the venue should be via email at office@caradoccountrycottages.co.uk.
Please show consideration to other guests and to members of staff and have respect for the accommodation that you are in. On departing, please leave your accommodation in the same condition that it was found in (dirty linen can be left on the beds and bin bags should be put in the commercial bin between cottage 5 and 6). Failure to comply may result in additional housekeeping fees.
The main Netley Hall building operates as an exclusive wedding and events centre, therefore unless you are attending an event, we kindly ask that you refrain from visiting the main Netley Hall building and its surrounding private gardens.
You will be held responsible for any damage occurred during your stay. We reserve the right to charge you, during or after your stay for any loss or damage to the accommodation. We reserve the right to enter the accommodation at any time for any reason.
Please do not remove items from your accommodation even if they are left in other cottages. Any missing items will be charged to your card.
Please check your accommodation carefully prior to you leaving as we do not accept liability for things left behind.
Our cottages are located within the former Victorian walled garden of the original Netley Hall and as a result not all the bedrooms have a window. Ventilation is provided for and most of our guests do not experience any difficulties in fact many report benefitting from a better night's sleep. That said if that is an issue please advise us at the time of booking and we will do our best to ensure that you are allocated a cottage with a bedroom window.
Bookings and Payments
Provisional bookings (made without a payment) will be held for 24 hours. After this time period, if a payment has not been received, the booking will be cancelled automatically.
Upon booking 50% of the total booking cost is due, the remaining 50% is due 7 days prior to check-in. Failure to pay the entire balance by the due date may result in your booking being cancelled and the loss of all monies paid to date. Please be aware that check in will not be permitted until 100% of the total cost of your booking is paid and valid bank card details are provided as security in the event of damage.
A preauthorised security deposit of £100.00 is required 24 hours prior to checking in - you will receive an email from our booking agent in relation to this. Failure to complete this step will result in you being unable to check in to your cottage and all other monies paid to date being forfeited.
Group Bookings
All group bookings in excess of 10 persons are accepted subject to our approval. Members of the same family and/or friends who are previously known to each other, or travelling together/or residing at the same address will be considered as a group for the purposes of these terms, irrespective of separate bookings being made.
Disabled guests
If you have special requirements, please let us know at the time of the booking. We will try our best to meet these requirements, but they cannot always be guaranteed.
Visitors
Should you have family/friends staying in the area, you are welcome to entertain them in your Cottage accommodation only. We do ask however that you advise us by email of the registration number of any vehicle being left on the estate over night for security purposes.
Arrival and departure times
We operate a contactless check in system. Upon arrival, please go straight to your accommodation and retrieve the key from the lock box immediately adjacent to the entrance door. The code for the lock box will be provided to you via your confirmation email and follow up emails. Your accommodation will be available for you to check in from 16:00 on the day of your arrival. Early check ins are not possible.
Check out: Upon check out please return your key to the lockbox before departing. We do ask that the lodge is left in the same condition in which you found it (used linen can be left on the beds). Check out is no later than 11:00 a.m. If you are delayed in
checking out, you will be charged an additional night’s stay at our advertised rate.
Please be aware that early check in or late check out are not a service that we offer. Fees will apply for late check out.
Changing the date of your booking
Please inform us immediately should you wish to change the date of your stay. All changes are subject to availability and will incur a £40 (plus VAT) booking fee. You will also incur additional charges if the cost of the accommodation is higher. If you wish to change your booking it must be confirmed in writing.
Bookings may not be changed within 14 days of the arrival date.
Where you have booked with us via a voucher or by utilising a discount of any kind bookings cannot be altered once made.
Cancellation of your booking
Please inform us immediately should you wish to cancel your booking. If you wish to cancel your booking it must be done by email.
Where you have booked with us via a voucher or by utilising a discount of any kind bookings may be cancelled but there will be no refund due.
All other bookings if cancelled will be subject to the following payments:
Number of days before the start of your holiday that notification of cancellation is received by us:
More than 7 days from the first day of your stay - Amount payable by you: 50% of the total cost of your accommodation.
7 or less days from the first day of your stay - Amount payable by you: 100% of the total cost of your accommodation.
We recommend that you take out holiday insurance at the time of your booking to protect yourself against any losses arising if you must cancel your booking for any reason.
Cancellation or Changes of your booking by us
If for any reason we must change or cancel a booking we will advise you as soon as possible in writing, and either provide you with alternative accommodation comparable to the one booked, or a full refund.
We will not be liable for any other loss or expense that may be incurred because of such cancellation.
Sleeping arrangements
Our accommodation descriptions show the ideal number that the accommodation will sleep. Under no circumstances may more than the maximum number of persons indicated stay overnight in the accommodation.
Children
Children aged twelve years and under may not be left alone without adult supervision. Children always remain the responsibility of parents or guardians.
We do not provide cots or bed linen for cots, if you require these you should bring your own.
Breakages & Damage
With all bookings, card details will be taken and retained securely on file. In the event of any breakages or damage to the cottage or its contents, your card will be charged and an invoice sent to you via email or mail.

In the unlikely event that damage occurs we will contact you via email to inform you of any relevant charges. We understand that accidents do happen, if one does occur please do let us know so that we can arrange for the most reasonable and cost effective solution for all parties.
Card/Payments
You will be required to provide card details prior to checking in, failure to do so will result in your stay being cancelled and no refund given.
We operate remotely, therefore all payments must be made via our website or your respective booking platform. There is no facility to do this over the phone or in person.
Your card details will be stored securely and will be deleted automatically 7 days after the end of your stay with us. In the event where it is necessary to charge your card due to damage or non-payment we will inform you in writing before doing so.
We do not accept American Express.
Smoking Policy
Smoking is not permitted in any part of the accommodation; We reserve the right to charge you a cleaning fee of £100 plus VAT when the smell of smoke is present.
Pets
Pets are permitted in the Holiday lodges subject to a £20 charge per pet per day payable at the time of booking. A maximum of 4 pets per cottage are allowed.
If you bring an unauthorised pet into any accommodation, you will be charged an additional cleaning fee of £100 plus VAT and your stay will be cancelled.
Assistance dogs are accepted by prior arrangement only and are subject to the above charges.
Fuel, Water & Heating
There is no extra charge for electricity, water, gas and heating.
Charging of electric vehicles is prohibited.
Vehicles
Your vehicles, their accessories and contents are left entirely at your risk. Guests are not permitted to charge an electric vehicle on site.
Guests are required to provide the registration number of their vehicle at the time of their booking.
Parking is free for all notified vehicles. Any vehicle found parking overnight without prior notice will be subject to a charge of £50.
The Fishery
Guests may use the fishery; this must be arranged in advance.
The cost is £10 per day for up to two rods per person.
Please adhere to the Fishery rules included within the information pack in your cottage. If you are caught fishing the lake improperly or withoutprior arrangement you will be asked to leave, and your stay will be cancelled immediately with no refund.
Fishing licences are required and must be available for inspection on request.
